When you email pay stubs, T4s, and RL-1s to your employees, QuickBooks Desktop automatically generates passwords for security purposes, and you can’t turn off this function. The QuickBooks Paystub Passwordcriteria have changed for QB 2018 and later versions. Now, the password includes:
1. The employee's last name (first three characters in small case) plus their birth detail in the format MMDDYYYY.
2. If the last name is less than three letters, then the password will still use that last name (with the 3. present characters).
3. If the last name’s first letter includes an extended character, then the password will include that character in uppercase.
4. While creating the password, characters such as dashes and spaces are subtracted from the last name.
